Council Equipment Borrowing |

Below please find a quick reference for frequently
asked questions regarding borrowing, problems with,
and use of Council
equipment. Remember that to borrow any equipment, you must agree to
the terms of the Agreement.
All of the rules and guidelines set therein supersede information
here and elsewhere.

What equipment is available for download? |
| A. |
All of the currently available equipment is
listed on the Items Available page,
including a digital still camera and a digital video camera.
New equipment may be added as the need arises. Contact any
Council Officer or the Lendor if you have any specific requests. |

Who can borrow these items? |
| A. |
Any current NYUSoM student may borrow
the equipment for use at a Student Organization or
Club Event. Specific eligibility guidelines are described
in the Agreement. |

For how long can I keep the item? |
| A. |
You can keep the item for the day of
the event, plus one day before and after. For example,
if you intend to use a video camera for an
invited
lecturer
on Wednesday, you may borrow it as early as Tuesday
and return it as late as Thursday, depending on availability.
Remember if you fail to return the equipment on
time, you may incur fines up to the cost of replacement
of the item. See below for lost or stolen items. |

I want to borrow the
item (e.g. video camera) but I need to keep it for
more than 3 days total
because of one of the following: (1) I need more time
to transfer the video; (2) I want time to practice
using the camera; (3) the event for which I need it
lasts longer than one day; etc. |
| A. |
Regular borrowing periods are three
days. Equipment may be borrowed for longer, up to
1 week, by special permission only.
Contact the Lendor to explain your specific case.
Items may be renewed by the same procedure. |

Why is the Agreement
so long? |
| A. |
In the past, Council equipment was
lent to students on their honor. Unfortunately,
lack of care and responsibility led to damage and
loss of equipment; Council and the School had to
absorb the cost for its replacement. To keep costs
down and
ensure that equipment purchased by Council is available
to as many students as possible, the Agreement was
drafted and approved. It serves to define specifically
the role of the borrower and his responsibility
for
the equipment.

No, seriously: I can't
get through the long document and legalese. Can you
just give me the gist of it? |
| A. |
Remember that you must read and
agree to all of the terms in the Agreement. You
may ask the Lendor or Council for clarification
if you desire. As a courtesy, the main points are
as listed below. Again, note that the Agreement
supersedes
any information herein.
You must be a NYUSoM student intending
to use the equipment for a club-sponsored event.
You must set up the period of use of equipment
with the Lendor after agreeing to the terms of the
Agreement.
You can keep it for a maximum of three
days, unless special prior permission was obtained
from the Lendor.
You are fully responsible for the equipment and
proper use of it.
You may be held financially responsible for the
cost of replacement of the equipment if it is lost,
stolen, or damaged.
Council only supplies you with the equipment as
is, without warranty of any kind. |

Is there anything I need
to purchase or set up before use? |
| A. |
Recording media (e.g. video tapes)
are not included with the equipment.
It is your responsibility to purchase tapes that are
compatible with the items.
While the Lendor will make an effort to provide
you the equipment with the battery charged, depending
on the time between the previous return and your
borrowing, there may not be a full charge. Make sure
to borrow the item early enough before the event
to make sure that there will be enough stored power.
Make sure to read and understand the user manual
for the equipment prior to use. |

| Problems with Equipment |
| Q. |
I just noticed that something
is missing from the item I borrowed. What should I
do? |
| A. |
At the time of borrowing, the Lendor
will have filled out an items-present list. It is
your responsibility to make sure that this list is
correct and the items are present. If the missing
item was listed as present at the time of borrowing,
you may be held responsible for replacing this item.
For this reason, please double-check all of the equipment
when you borrow it. |

I tried using the item
and it doesn’t work. What should I do? |
| A. |
Contact the Lendor within
8 hours of the malfunction. Council will investigate
the nature and cause of the problem and return a
decision to you. If you fail to contact the Lendor
within this time, you may be held responsible for
replacement of the item. |

| Q. |
The item I was borrowing
was lost or stolen. What should I do? |
| A. |
You are fully responsible for
the equipment.
In the case of theft, within 48 hours file
a report with NYUSoM if lost on school property
or with
the appropriate police department if elsewhere and contact
the Lendor. Within
30 days provide a copy of the report
to the Lendor.
Remember that you are fully responsible for the
equipment even if you file and provide a report.
You have the right to present your case to Council
if you follow this recommendation, which will
then decide the extent to which you are responsible
for replacement of the item. |

But it wasn’t
my fault. I had the item in
my possession for the entire time of the event.
I stepped out for less than five minutes. When I
returned, it was gone. |
| A. |
You are responsible for the
equipment. Council will determine the extent
of your responsibility for replacement of the items
on a case-by-case basis. For your benefit, make
a note of the events at and around the time of theft.
Be sure to follow the guidelines set for theft.
You may be held responsible for replacement of the
item. |

But you don't understand:
I really did take care of the item. |
| A. |
You are responsible for the equipment.
Council will determine the extent of this based
on the circumstances and your explanation/plea.

You are responsible for the equipment.

| Using Equipment |
| Q. |
How do I save the images
or video that I recorded with the equipment? |
| A. |
Included in the kit when you borrow
an item are cables that can be used to transfer the
data to your computer or other device. Required software
is available in the kit or for free download from
the manufacturer's website. |

| Q. |
Can I attach other
devices to the item I borrowed? For example, I'd
like to connect the digital camera I borrowed directly
to a photo printer. |
| A. |
According to the terms of the
Agreement, you may only attach to or use with
the item borrowed
devices that are included within the kit or explicitly
listed as allowed within the instructions.
If you wish to use another device in conjunction
with the item your borrowed, even if it is as simple
as a cable, you must obtain prior permission from
the Lendor or Council. This policy is in place because
many similar-appearing devices are incompatible
with the equipment available. |

Some of my friends
are coming in to visit me. Can I borrow the digital
camera to use when they are here? |
| A. |
No, Council equipment is categorically
for use at Student Clubs and Organizations only. |

| Q. |
A club of which I
am a member is attending a conference off the NYUSoM
campus. Can I borrow an item for use there? |
| A. |
Items can be used for events sponsored
by clubs or organizations, such as conferences.
Remember that all of the policies set forth in
the Agreement hold regardless of where the item
is used.
Make every effort to take care of the equipment
in these locations, including during transportation
and storage. Be sure that you are allowed to use
recording devices at the conference. If the equipment
is confiscated, it will be treated as lost or
stolen, and you will be fully responsible.
Contact
the Lendor for
prior permission if you will require the equipment
for longer than the usual 3-day period. |
